Privacy & analytics

Your counselling story does not belong in a marketing report.

This notice explains the limited information used by the public website. Clinical records, consent to counselling, and virtual-session privacy are handled separately through Jubilee Cares’ counselling practice processes.

Effective September 7, 2026

Website basics

Jubilee Cares Counselling is a private practice based in British Columbia. This public website is designed to provide information without asking you to submit symptoms, counselling history, or other sensitive details through a marketing form.

The hosting service may process basic technical information needed to deliver and protect the site, such as an IP address, request time, browser information, and security logs. Retention and access should be limited to operational and security purposes.

Privacy contact and counselling records

Jennifer Racine is the designated privacy contact for Jubilee Cares. Counselling records are kept separately from this public website and are not added to marketing or analytics reports.

Jennifer maintains client records in accordance with applicable privacy laws and ethical standards. Privacy, confidentiality, record handling, and client access are addressed in detail during the informed-consent process.

To ask about access to or correction of a counselling record, contact Jennifer using the address below without including sensitive details in the initial email. Identity and a suitable delivery process will be addressed before records are provided.

Optional Google Analytics

Jubilee Cares has not activated Google Analytics. If a Google Analytics 4 measurement ID is configured in the future, the site asks for your choice before loading the Google tag. Choosing “Continue without analytics” keeps the tag off. Advertising storage, Google signals, and ad-personalization signals are disabled by the site configuration.

With consent, Jubilee Cares measures public page views and generic actions such as clicking the consultation button or email link. Event labels are deliberately general. The site does not send message content, counselling concerns, form answers, diagnoses, appointment outcomes, names, email addresses, phone numbers, or client records to Google Analytics.

Google may process analytics information outside Canada. Review Google’s own privacy information before opting in if this transfer matters to your decision.

Booking, reminders, and email are separate services

The appointment-request form sends your scheduling details to Jubilee Cares’ encrypted practice database. Jennifer reviews the request in a private practice area before an appointment is confirmed. Keep optional notes practical and do not include counselling details or urgent information.

If you choose them, appointment receipts, confirmations and reminders are sent through Jubilee Cares’ transactional email or text-message provider. Choose a method and message wording that are safe for you. Messages contain practical appointment facts, never your reason for seeking counselling.

Ordinary email may not be fully secure. Keep an initial email general and avoid sending detailed clinical, safety, or crisis information. Email is not monitored as an emergency channel.

Secure onboarding intake

The optional onboarding questionnaire keeps answers in your web browser while you complete and review it. Nothing is sent until you select “Submit securely to Jennifer” and give the collection and use consent shown with the form.

On submission, the complete intake is encrypted before it is written to Jubilee Cares’ database. The database keeps only the encrypted intake plus a record identifier, status, key version, and timestamps needed to operate the inbox. The audit log records the authorized account, action, and time. Jennifer accesses readable answers through a signed-in practice area restricted to her approved account.

Intake answers are used to review your request, contact you in the manner you selected, and prepare for a consultation or first session. They are not sent to Google Analytics, an AI system, a newsletter list, or ordinary email. Submitting the intake does not create an appointment and is not an emergency contact method.

Jennifer may move information that remains relevant into the appropriate counselling record. Website intake records are kept only while reasonably needed for the stated purpose, legal and ethical obligations, and the documented retention process. When information has been used to make a decision that directly affects a person, applicable law may require it to be retained for at least one year. It is securely deleted when it is no longer required. You may ask Jennifer about access, correction, or deletion using the privacy contact below.

Newsletter choice is separate

Jubilee Notes is an optional educational email. Newsletter consent is not bundled with booking, appointment reminders, or counselling consent. The sign-up asks only for an email address and requires a separate confirmation before a person is added.

When the automated form is active, Brevo processes the email address, confirmation, delivery, and unsubscribe request for Jubilee Cares. Newsletter contacts are not uploaded to advertising platforms, joined to appointment records, or sent to an AI system. Each issue includes an unsubscribe link.

Your choices and access rights

You can use the public site without optional analytics. If analytics is configured, use “Privacy choices” in the footer to revisit your preference. You can also clear site data in your browser.

Under British Columbia’s Personal Information Protection Act, you may ask about personal information Jubilee Cares holds about you, request access or correction where applicable, or raise a privacy concern. The counselling-record process is described above.
